  • Merging and Splitting Class Groups
  • We have revised the features related to merging or splitting class groups.
  • In step 4, it became easier and more intuitive to use these options, as when using them, an icon will be shown next to the subject indicating that the merging or splitting is defined.
  • By clicking on the icon, you can undo the merging or splitting as well as add new ones.
  • New reports with custom formatting options and PDF printing
  • We have made available in our solution viewer several report options besides the traditional report by class group and by teacher.
  • It is also possible to customize the formatting with the start and end times for each time slot and determine whether colors should be applied or just simple formatting.
  • Printing to a PDF file is available and will respect the formatting selected in the report options. We look forward to your feedback and suggestions to make this feature even more interesting.
  • Return of the Fixed Schedules feature.
  • The FIXED SCHEDULES feature that had been disabled is back, and much easier to apply.
  • In step 6, click on the FIXED LESSONS menu to be directed to the new solution editor in the mode to include the fixed schedules.
  • After finishing allocating the schedules that should be fixed, save and click back. Remember that this feature should be used with caution, as fixing schedules eliminates several combination possibilities, harming other teachers with reduced availability.
  • Solution Editor version 2015
  • We have updated our solution editor to a lighter, faster, and more intuitive model.
  • With the new editor the screen has more space to view all items and it is easier to understand which teachers are already allocated to the class groups.
  • It is also easier to start the allocation by class group or by teacher. Please comment and leave your suggestions to make it even more efficient.
  • New option to improve the didactic organization of the school timetable
  • We have made available new options to improve the didactic quality of the timetable.
  • In Step 6 click on the DIDACTIC GROUPING button. Use this option to prevent certain subjects from being taught on the same day or in sequence.
  • Use this option to prevent, for example, very dense subjects, of the same type, or that at your discretion should not be together, from being close (in sequence or on the same day).
  • Build the filter and make combinations with any subjects in 1 or more class groups.
  • Real-Time Processing Tracking
  • Now you can track the processing of your timetable in real time.
  • After putting the timetable into processing, select the option to track the processing in real time.
  • You can see the position in our servers' processing queue and the status of the solution being generated item by item.
  • At the end of the processing you can click to go directly to the generated solution. A traditional email will still be generated to inform you that the processing has finished.
  • Improvements to the Timetable Analysis Tool
  • The timetable analysis tool has been redesigned to didactically show its availability problems.
  • With color charts, we show the time slots with reduced or excess supply of teachers.
  • Automatic suggestions are presented so that a higher quality solution can be possible.
  • New Suggestion System to Eliminate the Timetable Pending Items.
  • We have redesigned the suggestion system to make the method of resolving the timetable pending items even easier.
  • If your timetable has pending items in step 5, the pending-item indicator (P) will be visible in the top menu.
  • Just click on the indicator and the detailed screen of the pending items with the suggestions and ways to resolve them will be shown.
  • New screen design and instant help to make registration even easier
  • To make registering the timetable steps even easier, we renewed the design of the screens and wizards.
  • We have added many instant-help boxes that ease any doubt that may exist about an item or field of the registration.
  • Just hover the mouse over the fields and the instant help will appear.
  • NEW MULTI-WEEK SYSTEM
  • In response to requests from our users, we created a new method for schools that have class groups in the same turn but that start at different times or have breaks of different duration or start time.
  • It is possible to create several versions of the same turn with different durations, breaks and start times Each version of a turn can be assigned to a different class group that will operate under that definition.
  • Easy Timetable will respect the schedules of the teachers who will be assigned to the class groups with different versions of the turn, not allowing schedule clashes.
  • To create a different version of your week, go to step 2 and define your main week, then click the "+ ADD +" tab on the vertical bar on the left side of the defined week to add a new version different from the main week. If there is more than one week definition in your schedule, Easy Timetable will ask you to specify which definition to use for each class group in step 4.
  • NEW OPTION TO CONFIGURE TEACHERS' CONSECUTIVE LESSONS
  • Now you can use the new DETAILED CONSECUTIVE-LESSONS CONFIGURATION.
  • If the GENERAL, BY TEACHER or BY SUBJECT configurations were not enough to meet the needs to join or separate the teachers' lessons, we present the new option to determine exactly the configuration for each subject in each class group for each teacher, called DETAILED CONFIGURATION.
  • With this detailed configuration you can use the new PARTIAL CONSECUTIVE option for teachers who teach 3 lessons in a class group. The system will force 2 lessons to stay together and 1 lesson alone on another day.
  • To enter the DETAILED CONFIGURATION, just edit your schedule and go to step 6 where you can access this option.
  • NEW SOLUTION EDITOR
  • Now you can create and edit your own solutions with the new Easy Timetable editor.
  • The solution editor allows you to build the solution while blocking the common errors of the procedure. It is extremely easy and intuitive to use.
  • With this tool you can even find the possible availability problems of your schedule.
  • To use the editor, just log in to Easy Timetable and create your schedule up to step 6. Then, click to exit the schedule registration. The Solution Editor icon will be alongside the other command buttons on the main screen of your created schedules.

  • OPTION TO COPY / DUPLICATE THE SCHEDULE REGISTRATION
  • We added an option to copy / duplicate the schedule. You can use this option to run simulations without having to touch your main registration or to start a new schedule reusing a previous registration.
  • It is possible to copy the entire schedule or only part of it, obviously respecting the dependency of the elements that compose it.
  • To duplicate the schedule, log in or click on my schedules on the Easy Timetable main screen. Each schedule has a DUPLICATE button right next to the EDIT button in the command menu of the main screen.
  • NEW ROOM REGISTRATION
  • If a certain lesson is not taught in the class group's own room, it can use another physical space that cannot be shared at the same time by other class groups.
  • In this case, we created a room registration so that you can tell Easy Timetable where this lesson will be taught.
  • To create a room, go to step 4, click the "ROOMS" button. Provide the list of rooms with a representative name, for example: Music Room, Laboratory, Court, etc. Close the wizard.
  • Then, click on the class group and, in that class group's grid, mark the room where the lesson will take place. Only use the room registration if the lesson is not taught in the class group's own room and if that physical space cannot be used by other class groups at the same time.
  • NEW OPTION TO SAVE THE SCHEDULE SOLUTION IN EXCEL FORMAT
  • We added a button on the schedule solution screen for you to conveniently download the assembled school grid.
  • The option to right-click the mouse, select all, copy and paste into the spreadsheet editor already existed, but now it has become more practical and convenient.
  • The solution confirmation email will already include the attached file containing the solution in .xls (Excel) format.
  • NEW WAY TO DETERMINE THE TEACHERS' "ACTIVITY" LESSONS
  • We created a new way to register the teachers' 'ACTIVITY' LESSONS, to make it even easier and with better solution quality.
  • You can set a fixed number of "activity" lessons for a teacher's subject, or set a percentage relative to the number of subjects allocated to the teacher.
  • To do this registration, just go to step 5 and click on the teacher you want to edit. Next to each subject the teacher teaches, there is a combo box to set the number of "activity" lessons or the percentage.
  • PRIORITY TO REDUCE TEACHERS' GAPS
  • We created a new tool to improve the reduction of teachers' gaps in the time slots where the combination does not exist.
  • You can set the priority in gap reduction with a number from 1 to 10. Teachers with priority 10 will be benefited to the maximum in this process. If all teachers have the same number, there will be no benefit.
  • To set the priority, go to STEP 6 and click on PROCESSING PARAMETERS. Next to the item ELIMINATE TEACHERS' GAPS, click the PRIORITY BY TEACHER button.

  • DEFINITION OF LOCATIONS FOR CLASS GROUPS
  • Institutions that have more than 1 unit, buildings or that teach in different locations that cause an impact on the teachers' travel time can now register this very easily.
  • Easy Timetable will properly consider the teachers' travel time from one location to another. You have all the flexibility to specify the travel time between locations or even whether it is only possible to go from one location to another on a different day.
  • To define one or more locations, just go to STEP 4 and click the DEFINE LOCATIONS button. After giving the names of the locations, inform the distance, in lesson time, from one location to another.
  • MULTIPLE PERIODS IN THE SAME TIMETABLE
  • Now you can build your timetable with several periods in the same timetable.
  • Each period can be customized with the number of lessons, duration, start times and breaks independent of one another. This improvement allows building your institution's week with much more flexibility, so that you can represent with 100% fidelity the real situation of your institution's operating hours and thus achieve a higher-quality timetable combination.
  • To register the periods, just go to STEP 2 and click CREATE WEEK. After creating the first period, click ADD PERIOD.
  • MORE FLEXIBLE OPTION FOR PINNING TEACHERS TO CLASS GROUPS
  • We have added an option to DENY a given class group for a given subject of the teacher.
  • With this new option you can tell Easy Timetable that a given teacher must teach a given subject EXCEPT in a given class group(s).
  • Together with the previous feature that already existed of pinning the teacher's subject to the class group, you can now build a much more flexible combination, greatly increasing the probability of a satisfactory solution.
  • To Pin or DENY a class group, just go to STEP 4 and click on new class group. Then, after registering the basic data of the class group, the option to deny or pin the class group will be provided in the last wizard.
  • NEW FEATURE ADDED - MEETING ROOMS for the teachers
  • Now you can already create the teachers' timetable grid and at the same time plan possible meetings they must hold weekly.
  • It serves as an example for organizing class councils, lesson planning and any other activity that consumes 1 or more lesson-hours of the teacher and that prevents them from being elsewhere during that time.
  • To create the meeting room, just go to Step 4, click on new class group and choose the MEETING ROOM option. Add the topics / subjects / activities freely to the room.
  • Then go to STEP 5 and add the topic / subject / activity for each teacher who must mandatorily participate.
  • Easy Timetable will automatically place all the teachers participating in the meeting in the same room at the same time.
  • NEW FEATURE ADDED - SIMULTANEOUS LESSONS (Merging Class Groups)
  • Now you can already create the timetable grid by joining class groups that must take the lesson of a given subject at the same time.
  • It serves, for example, to force the 5th and 6th grades to take the physical education lesson at the same time.
  • To create the simultaneous lesson, just go to Step 4. After you register your class groups normally, click the MERGING CLASS GROUPS button.
  • Then select the class groups that must be merged and the respective subject. Click SAVE.
  • Easy Timetable will automatically allocate the class groups to take this subject at the same time.
  • NEW WAYS TO DETERMINE THE TEACHER'S AVAILABILITY
  • Now, in addition to being able to enable / disable the teacher's time slots freely throughout the week, we have introduced a new much more versatile option to set up the teachers' availability.
  • We have introduced the registration of days off and daily limits.
  • Registering a movable day off is less restrictive than closing a given day of the teacher. With the new registration you can tell Easy Timetable that a given teacher must have 1 day off among Monday, Tuesday and Friday, for example.
  • Before, you would have to choose one of those days and close the time slots in red, which makes it extremely restrictive, in addition to penalizing the other teachers.
  • You can now also control the daily availability of each teacher, in addition to the weekly limit that already existed.
